Letter to ordinary shareholders (April 2004)
12 April 2004
Dear Shareholder,
We are aware that some shareholders have experienced problems with the delivery of their financial publication(s), and the notice of meeting and proxy card relating to Gallaher’s 2004 AGM on 12 May.
We have received reports that envelopes have arrived with some shareholders in a very poor condition (and if you are one of these people, thank you very much for bringing this to our attention). On investigation it would appear that this problem has arisen due to the mailing house using window envelopes, rather than solid envelopes.
Unfortunately these particular window envelopes were not appropriate for our mailing, as the label stuck on the proxy card was not in the correct place for the window. As a consequence, addressee details were not showing in full and so as to establish the details of the addressee, the post office have been ripping the envelopes to find the details.
We are now concerned that some shareholders might not have received this pack, and, if, by the time you receive this letter, you have not received your pack, could I please ask you to call our registrars, Capita Registrars, on either of the following numbers, UK: 0870 162 3114 or overseas: +44 20 8639 3114. They will arrange immediately for a replacement to be sent straight to you.
I am very sorry that the need has arisen for me to write to you on this issue – but please be reassured that we shall do everything possible to ensure that this does not happen in the future.
Yours faithfully,
Claire Jenkins
